Managing organizational units and access

Organizational units are a way to structure teams and manage access to assets within a company’s account. The top level unit is your company, and its legal and business setup applies to the entire account. Under the company are organizational units. You can use these to create entirely separate workflows and teams for different brands and clients.

With organizational units, marketing teams when using the Smartly platform can operate independently without exposing sensitive data and collaborate without duplicating work. With organizational units, you can scale teams, clients, and business lines without access risk.

In Organizational management, you can create and manage organizational units, and assign users and assets.

Your company’s organization consists of units, which can be organized hierarchically. You can give access to ad accounts and assets, such as asset library and feeds, at the following levels:

  • to an entire unit including the units inside

  • to a specific unit

  • to an individual user

Create a new organizational unit

  1. In the main navigation, click Settings > Organization management.

  2. Click Create Organizational Unit.

  3. Give the unit a unique name.

  4. To place the unit under an existing unit, select a parent unit.

  5. Select ad accounts.

  6. Select assets.

  7. Select users.

  8. Click Create.

Move a unit into another unit

  1. In the main navigation, click Settings > Organization management

  2. Click Ad accounts.

  3. Next to the unit you want to move, click Move to.

  4. Select the new parent unit.

  5. Click Save.

Manage units access

Assign ad accounts to units

  1. In the main navigation, click Settings > Organization management

  2. Click Ad accounts.

  3. Next to the ad account, click Units with Access.  

  4. In the list, update the access by selecting Yes or No next to each unit.

Assign assets to units

  1. In the main navigation, click Settings > Organization management

  2. Click Assets.

  3. Next to the asset, click Units with Access.

  4. In the list, update the access level for each unit.

    • Projects: Yes/No

    • Generation on Feeds: Yes/No

    • Asset Library: read, write, or manage

    • Automation Feeds: read, write, or manage

Assign access to a single user

  1. In the main navigation, click Settings > Organization management.

  2. Click Users.

  3. Select the user.

  4. In Ad accounts, Roles and Units, use the dropdown menus to configure the user’s access.

    You can assign the following roles: Admin, Full Access, Designer, Analyst, and Feeds Manager. For more information about the roles, see Access control with user roles.

Note

You can only grant access to accounts and assets that you have access to. If you don’t have the necessary permissions, contact your company admin.
